Position

Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership. The ideal candidate will act as a trusted partner to executives, managing schedules, coordinating communications, organizing meetings, and ensuring day-to-day operations run smoothly. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements
  • Coordinate internal and external meetings, including preparing agendas, presentations, and meeting materials
  • Screen and prioritize incoming communications (emails, calls, and messages)
  • Track deadlines, follow up on action items, and ensure timely completion of projects
  • Coordinate logistics for meetings, events, and executive travel (flights, accommodations, itineraries)
  • Maintain confidential records and handle sensitive information with discretion
  • Assist with project coordination and administrative support across departments
  • Support operational tasks such as expense reporting, vendor coordination, and document management
  • Identify opportunities to improve administrative processes and workflows
  • Light accounting duties as needed – training will be provided

Required Qualifications

  • 3–5+ years of experience supporting senior executives or leadership teams
  • Exceptional organizational and time-management skills with the ability to prioritize multiple tasks
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and confidentiality
  • Proficiency with office productivity tools (Microsoft Office Suite, Google Workspace, etc.)
  • Experience coordinating travel, meetings, and executive schedules
  • Ability to work independently and anticipate executive needs

Preferred Qualifications

  • Experience supporting C-suite executives
  • Project management experience or certification
  • Experience in a closely held family corporation

Work Environment

Pay Range:

$33.65 - $38.46 per hour
